SonoScribe (“we”, “us”, “the service”) helps qualified medical professionals draft ultrasound reports. This policy explains what information we collect, how we use it, and the choices you have. By using the service you agree to this policy.

Health-Data Handling

The findings you provide and the reports you generate are sensitive health information. We process them only to provide the service you requested — drafting your report. We never sell your health data and never use it for advertising. All outputs of the service are AI-assisted drafts intended to support — not replace — a qualified healthcare professional’s judgment, and are not a final or definitive diagnosis.

Patient-identifying details (names, IDs, addresses, phone numbers, dates) are extracted into form fields and placed directly into your Word document; the drafting and diagnostic models see only clinical content (organ findings and measurements), never patient identifiers.

1. Information We Collect

  • Account information. When you sign in with Google we receive your name, email address, and profile photo. You may optionally provide a phone number.
  • Dictation and scan inputs. The findings you dictate or type, any ultrasound measurement-screen photos you upload, and your clinic profile and signature used to finalise reports.
  • Generated reports. The reports the service drafts for you, kept in your report history until you delete them or the retention period elapses.
  • Payment information. Payments are processed by Razorpay, our payment gateway. We receive payment status and reference identifiers only — we never store your card numbers or other payment instrument details.
  • Operational logs. Basic technical logs (such as request timestamps and errors) needed to keep the service running and secure.

2. How We Use Your Information

We use your information solely to operate the service: to sign you in, to draft your reports, to maintain your report history, to process your subscription, and to respond to support requests.

3. How SonoScribe Processes Your Information

SonoScribe processes ultrasound reporting information using its own platform architecture, clinical workflows, rule-based systems, and AI-assisted technologies. Certain technical infrastructure providers may assist us in delivering specific processing functions. Such providers operate subject to applicable contractual obligations relating to confidentiality, security, and data protection.

We apply data-minimization principles and, where technically feasible, limit the information shared with these providers to the minimum necessary to perform the requested service. In certain circumstances, limited information may need to be processed by a provider in order to generate or analyze the service outputs you request.

SonoScribe implements privacy safeguards, including de-identification and data-minimization measures where appropriate, before information is processed through external technical services. We also maintain technical and organizational safeguards designed to protect personal information, including access controls, encryption, and logging.

SonoScribe does not sell identifiable personal information or identifiable medical information, and we do not use your information for advertising. Information you provide is not used to train our artificial-intelligence models.

4. Storage and Security

Your data is stored in an encrypted database hosted on Indian-region cloud infrastructure, in line with local data-residency expectations. We apply industry-standard safeguards, including encrypted connections, encryption at rest, and access controls, to protect your information. Doctor signatures and clinic branding are encrypted with per-application keys.

5. Data Retention

  • Account data is kept for as long as your account remains active.
  • You may delete individual reports from your history at any time, and generated reports are auto-deleted after the retention period shown in the app.
  • If you ask us to close your account, we delete your account data and reports, except where a record must be retained to meet a legal obligation (for example, payment records).

6. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by emailing us at sonoscribeai@gmail.com. We will respond to verified requests promptly.

7. Cookies

We use a single session cookie to keep you signed in. We do not use third-party advertising trackers.

8. Analytics

We do not run third-party analytics on your activity. The only records we keep beyond your account and reports are operational logs required to run the service.

9. Children

The service is intended for adults (18 years or older). We do not knowingly collect information from children.
